1. Who is responsible and what this notice covers
Live Takeoff LLC ("LiveTakeoff," "we," "us," or "our") provides the LiveTakeoff website, web/mobile applications, and aircraft-service coordination. This notice explains our handling of personal information in those services, customer inquiries, and provider applications. Personal information is information about an identified or reasonably identifiable person; business contact details and operational records can contain personal information.
Assigned service providers may receive the job information needed to perform their work. A provider may have its own obligations and privacy notice for processing it independently controls.
For information we use to manage our own business and coordination activities, we determine the applicable purposes and means. For certain organization-controlled records, we may process information on a customer's instructions under a separate agreement. The role depends on the actual activity; our data-processing agreement, where applicable, explains those responsibilities. Contact us if you need help identifying the responsible organization.
2. Information we collect
We collect information reasonably needed for the features and services used. Depending on your interaction, this can include:
| Category | Examples and source |
|---|---|
| Account and business contacts | Name, business email, telephone number, company, role, authorized-user and permission details, supplied by you or your organization. Authentication credentials and related security records are handled by the applicable account system. |
| Job and aircraft information | Aircraft identifier/type, job location, airport/FBO, service requests, schedules, authorization/approval records, provider assignments, job status, inspection records, invoices, and service history supplied by authorized participants or approved integrations. |
| Communications and photos | Job notes, messages, support inquiries, uploaded photos, file information, and related timestamps. These may incidentally include personal information visible in an aircraft or submitted by a participant. |
| Provider applications and compliance | Business contacts, operating locations, experience, service capabilities, products used, insurance/credential records, and follow-up information provided during onboarding and participation. |
| Certificate verification | Certificate references, aircraft/treatment details, requesting authority or organization, official contact details, and correspondence needed to check records and respond to authorized verification requests. |
| Payment and business records | Billing contacts, invoices, transaction references, payment status, and records associated with ACH transfers, checks, and credit card payments. We use QuickBooks to process credit card payments. Payment details are handled by the relevant processor or financial institution and may be included in records provided to us depending on the method used. |
| Technical and usage information | IP address, browser/device information, app version, event/error information, login/security activity, and page or feature usage, subject to applicable settings and choices. |
| Preferences and legal records | Terms acceptance, communication choices, SMS consent/revocation, privacy requests, and the records needed to evidence and honor them. |
The LiveTakeoff mobile apps do not track your device location. Aircraft locations, flight information, and service locations are used to coordinate aircraft cleaning; they describe the aircraft or job and are not tracking of your phone's location. Aircraft location and flight data may nevertheless be commercially sensitive and may relate to identifiable people when combined with other information.
Please avoid uploading passenger identities, travel documents, medical information, access/security codes, or unrelated sensitive material unless specifically needed and an appropriate protected process is provided. Do not submit another person's information unless authorized and permitted by law.
3. How we use information
We use information to provide accounts and role-based access; receive, approve, coordinate, and document requested services; communicate with authorized customer/provider participants; arrange approved site logistics; support billing; investigate quality issues or incidents; maintain appropriate business/claims records; respond to inquiries and privacy requests; protect accounts and systems; and meet legal obligations.
We also use relevant treatment records and requester information to verify certificates issued by Live Takeoff LLC. Supporting records are disclosed only as appropriate to an authorized requester and the verification purpose. Please do not include passenger information or unrelated travel documents in a verification request.
We may use appropriately configured usage information to understand and improve our services, subject to the choices and legal requirements described below. Any optional marketing use must follow applicable notice, consent, and opt-out rules. Job photos, customer logos, aircraft-identifying material, and operational records are not authorized for public advertising merely because they were uploaded to a job; separate permission is required.
4. Who receives information
We disclose relevant information to authorized customer organization users, coordinators, and assigned Service Providers so they can perform their roles. Customer administrators may have broader visibility than submitter-only users. Personnel changes or company requests may affect access. A user should not assume that a message in a company job record is private from authorized company administrators.
We may also disclose necessary information to:
- FBOs, airports, or other parties involved in arranging authorized access, timing, facilities, or fees, limited to the relevant coordination purpose.
- Service providers supporting hosting, storage, media delivery, email, SMS/push messages, forms, analytics, technical support, or payment processing, including QuickBooks for credit card payments, subject to appropriate contractual and access controls.
- Integration partners authorized for the relevant workflow, such as flight-data or trip-management services. The direction and fields of each integration depend on its configuration and authorization.
- Professional advisers, insurers, claims participants, and public authorities when reasonably necessary and lawful for advice, claims, compliance, safety, security, or the protection of rights.
- A successor or transaction participant in a legitimate business transfer, subject to applicable law and protections for the information.
We do not sell personal information. We do not sell or share phone numbers or SMS consent information with third parties or affiliates for their own marketing purposes. Necessary messaging providers may process that information to deliver our communications under appropriate restrictions.
5. Cookies, analytics, and mobile technologies
Our website and apps use storage and similar technologies for authentication, security and preferences. Where enabled, Google Analytics helps measure website usage. Technical logging also supports reliability and security. Information associated with these tools may include the technical and usage information described above.
Optional tracking will be used only with the required consent or another documented lawful basis or exception. Contact support@livetakeoff.com about available privacy choices or to withdraw consent where processing relies on it. Where an in-service tracking preference is available, you may also change it there. Browser/device controls may also affect storage, notifications, or permissions. Rejecting optional analytics should not prevent essential account access or an otherwise available service.
6. Communications and choices
We use appropriate channels for account, security, job, billing, and support communications. Optional SMS requires separate enrollment under the SMS Terms; a supplied telephone number, accepted account terms, or company administrator action does not by itself establish every individual's required SMS consent.
You may withdraw SMS consent using the supported methods described in those terms. You may manage optional marketing using its unsubscribe method. Required operational communications may still occur through permitted nonsuppressed channels, and stopping SMS does not cancel a job. Mobile push preferences depend on the app and device settings actually available.
7. Retention and account closure
We retain information for the period reasonably needed for the purpose for which it was collected, the applicable customer agreement, legal requirements, security, accounting, insurance, and dispute resolution. We consider record type, active service relationships, claim periods, legal holds, and backup processes. We do not retain all categories indefinitely merely because storage is available.
Deleting a user account does not necessarily erase every record of a company job, invoice, consent, or incident. Where a lawful exception or organization-controlled record applies, we restrict retained information appropriately and explain the applicable limitation in responding to a request. Backup copies may remain for a defined lifecycle with restricted use, rather than disappearing immediately from every system.
8. Security and incidents
We use administrative, technical, and organizational measures appropriate to the information and risks. No system can guarantee absolute security. We investigate relevant incidents and give notices required by applicable law or agreement. This statement does not limit a duty imposed by law or replace an agreed contractual security obligation.
Protect your credentials and device, review company access permissions, and notify support promptly about suspected unauthorized use. Do not send passwords, payment credentials, or sensitive incident details through a public form.
9. Privacy requests
Depending on the law that applies and our role in the processing, you may have rights to request access, correction, deletion, a copy of data, restrictions, or objection to certain uses, and to withdraw consent where processing relies on it. Additional state rights can include opting out of sale, sharing, targeted advertising, or certain profiling, and appealing a refusal where required. These rights are subject to applicable exceptions and verification requirements.
Contact support@livetakeoff.com with the subject “Privacy request.” We may request proportionate information to verify identity and authority and will not request more than reasonably needed. An authorized agent may act where permitted, with appropriate verification. If another organization controls the relevant records, we will explain how to direct the request or assist as required by our agreement and law. We will respond within the applicable legal period and explain any permitted extension or refusal.
We will not unlawfully discriminate against someone for exercising a privacy right. Necessary information may still be required to provide a requested service.
10. International information and regional rights
Our primary operations are in the United States. Information may be processed where our verified providers and authorized service participants operate, including in connection with an international job. Privacy law and safeguards differ across locations.
Where EEA, UK or other regional privacy law applies, we process information on an applicable legal basis, such as performing a contract, meeting a legal obligation, pursuing legitimate interests in operating and securing our business after considering affected individuals' rights, or consent where required. You may contact us for information about the basis and safeguards relevant to your data, or to object or withdraw consent where applicable. You may also complain to the competent supervisory authority. Where international-transfer safeguards are legally required, they must be in place before the transfer; contact us to request information about applicable safeguards. Acknowledging this notice is not consent to every possible transfer.
11. Children
LiveTakeoff is intended for adult business users and authorized service participants. It is not directed to children under 18. If you believe a child has provided personal information without appropriate authorization, contact us so we can investigate and handle it as required by law. An age statement does not excuse ignoring known improper collection.
12. Changes and contact
We will show the effective date and describe material changes through appropriate notice. Where a change requires consent or other action, we will obtain it before applying the relevant new processing. Posting an updated notice does not make a new use lawful by itself.
